How we look after the information you share with us through this website, your parent account, and our booking system.

Who we are

What we collect

• Contact form: name, email or phone, and your message.
• Parent account: name, email, and password (stored securely by our auth provider; we never see your password in plain text).
• Bookings: session choices, dates, and related booking details.
• Forms and waivers: parent or guardian details, emergency contacts, and child medical or allergy information you choose to provide so sessions can run safely.
• Payments: handled by Stripe. We do not store full card numbers on our servers.

Why we use it

We use your information to respond to enquiries, manage bookings, run sessions safely, take payments, and meet our legal obligations. Lawful bases include contract (when you book), legitimate interests (running the business and keeping children safe), and consent where we ask for it explicitly (for example optional photo consent).

Booking account

If you create a parent account, we store your name, email, booking history, and form completion status so you can book and manage your family's sessions online.

Payments

Card payments are processed by Stripe on our behalf. Stripe collects payment details according to its own privacy policy at stripe.com/gb/privacy. We receive confirmation of payment and limited billing metadata, not your full card number.

Staff access

Authorised coaches and staff at TNT Family Fitness can view bookings and cleared form status for operational and safeguarding purposes. Staff accounts are invite-only.

Where it goes (processors)

Our website and booking platform are built and hosted by Underdown Labs Limited (trading as UF Labs), who act as our data processor. They use secure hosting and the following sub-processors to deliver the service:

• UF Labs / hosting — website and application hosting
• Supabase — authentication and booking database
• Stripe — payment processing

We do not sell your information or use it for third-party advertising.

How long we keep it

We keep enquiry and booking records only as long as needed to provide the service, meet legal requirements, and resolve disputes, then delete or anonymise them.

Your rights

Under UK data protection law you can ask for a copy of your information, correction, deletion, or restriction of use, and you can object to certain processing. Contact andy@tntfamilyfitness.co.uk. You may also complain to the Information Commissioner's Office at ico.org.uk.

Cookies

We use essential cookies and similar technologies needed to operate the website and booking login (for example security and session management). We do not use advertising cookies. If we add visitor analytics in future, we will update this notice.
